Administration Assistant to the Head of Senior School

Townsville Grammar School is one of the original Grammar Schools of Queensland. The Year 7-12 campus is located on the original site at North Ward. The School also operates two Junior School campuses, both offering Pre-Prep to Year 6, at Annandale and North Shore.

 

Townsville Grammar School is a co-educational, non-denominational School with a current enrolment of approximately 1300 students, including 120 boarders (7-12), of whom approximately 25 are international students.

As one of the eight original Grammar Schools in Queensland, Townsville Grammar School was established in 1888 and has offered boarding since this time. The School has a long-standing reputation as the leading academic school in Northern Queensland, also offering the International Baccalaureate Diploma Programme for Years 11 and 12.

We are currently seeking an experienced administration professional to provide high-level secretarial and administrative assistance to the School’s Head of Senior School. This is a permanent  term-time only role (full time hours during term).

Specific accountabilities of the role include:

  1. Secretarial duties as required by the Head of Senior School.
  2. Maintain Head of Senior School’s diary and arrangement of meetings, including organising regular one on one meetings with direct reports, student academic mentoring meetings and student meetings as required.
  3. Maintain accurate and updated information on the School’s digital platforms – Moodle, TASS, various portals for behaviour management and school reporting.
  4. Receive enquiries, concerns and complaints and actions or forwards to appropriate channels.
  5. Draft appropriate responses for correspondence on behalf the Head of Senior School.
  6. Maintain hard copy and digital filing systems relating to the efficient and effective operation of the Head of Senior School’s office and the Senior School Pastoral Care Team.
  7. Prepare and distribute reports, agendas, minutes and other printed material as required for meetings.
  8. Support the Head of Senior School with all special projects as they arise.
  9. Manage finances in relation to the Head of Senior School’s office including reconciliation of Deputy Principal credit card, raising requisitions and payment of invoices where required.
  10. Manage events organised through the Head of Senior School's office including venue bookings, participation advice, catering and resources.

 

The ideal candidate will have extensive administrative experience, high attention to detail and excellent communication skills. Additionally, the successful candidate will have:

  • A high level of accuracy in maintaining databases and other records.
  • A demonstrated ability to communicate and engage with a diverse range of stakeholders including students, parents, teachers and other members of the School community.
  • A high level of discretion and confidentiality.
  • The ability to multi-task and manage multiple, sometimes conflicting, priorities.
  • Excellent Word and Excel skills.

 

The successful applicant will also have or be willing and able to obtain a paid Queensland Working with Children Blue Card.
